Assist Mohs surgeon in surgeries; help surgeon during surgery by passing them instruments and other sterile supplies.
Prepare patients, rooms and equipment for pending procedures.
Sterilize and supply equipment.
Prepare patients for surgery, such as washing incision cites.
Completes notes on patients through EMR.
Makes patient phone calls.

Phone calls/To-Dos

  • Answer all patient phone calls on the triage nurse line
  • Answer all patient questions, send refills, and communicate with providers on patient concerns
  • Listen to all messages on the triage nurse line and pharmacy refill line, document correctly in Nextech and complete to do assignment
  • Complete to-do assignments for all nurses/providers
  • Communicate with providers on patient needs
  • Assist the nurses and providers on sending thank you letters to referring physicians
  • Assist the nurses and providers on sending certified letters
  • Communicate with the Lab Coordinator on patients needing certified letters

Assist Nursing Staff

  • Assist clinic staff when needed to ensure clinic is running smoothly and efficiently
  • Assist with rooming patients and communicating with clinic staff about patient needs
  • Assist with cleaning and turning over rooms
  • Assist with entering patient histories as needed

Lab Management

  • Assist the Lab Coordinator in calling all skin cancers, benign results, and rashes for the Memphis office
  • Assist the Lab Coordinator with scheduling surgeries for all skin cancers at the Memphis office
  • Ensure the Memphis office surgery schedule is correct and patients are aware of appointments
  • Call all LabCorp results for the Memphis office
  • Send in prescriptions as needed for patients
  • Communicate with the providers about any patient questions or concerns
  • Run reports for all specimens and place specimens in the correct pick-up box at the end of clinic

1. Check In

  • Greet patients upon entrance to the clinic
  • Provide new patients with intake paperwork and collect their photo ID and insurance cards
  • Take patient photos
  • Make sure all signatures are acquired on paperwork
  • Confirm insurance information and name is entered correctly into our system for all New Patients
  • Bring tickets back quickly for all patients
  • Correct Intake paperwork in the patient’s chart, as needed
  • Attach all paperwork and photo to patient’s chart

2. Check Out

  • Understand basics of CPT codes, ICD 10 codes, and billing modifiers
  • Be able to quickly analyze the patient’s ticket and calculate cost efficiently
  • Collect payment in accordance to the patient’s insurance benefits
  • Assist with any product recommendations the providers give
  • Reschedule for necessary follow up appointments

3. Scheduling Patients

  • Know the basics of the Nextech System and operate it efficiently
  • Follow appointment template for new, follow-up, surgery, and cosmetic appointments
  • Understand the different provider’s schedules and how they book their appointments
  • Have a basic understanding of the time needed for various appointments, and if any “extras” are needed
  • Educate patients on the patient portal and to utilize it
  • Be able to educate patients on basic insurance information (ex: deductible, co insurance, co-pay, etc.)

4. Verifying Insurance

  • Have a basic understanding of various types of insurance plans
  • Know how to efficiently verify insurance within the Nextech System and on the phone with insurance companies
  • Accurately identify what a patient will owe at their visit (i.d. Copay, deductible, co-insurance, etc)

5. Phone Calls

  • Answer the phones by the first ring with a smile
  • Be customer service oriented
  • If unable to assist or connect the call to the appropriate person, take a detailed phone message and alert those needed.
  • Make daily reminder calls to the next day’s appointments. Assist with rescheduling as needed and mark appropriately in Nextech
  • Call those added to Nextech System’s Rescheduling Queue and assist them with rescheduling appointments to an agreeable day and time

6. Administrative Tasks

  • Perform Opening and Closing Procedures including running any necessary reports and balancing the cash drawer, as well as other assigned closing duties
  • Create tickets for the next day’s appointment with correct information
  • Schedule referrals from other offices through the Crimson online referral system or faxed referrals
  • Manage medical record requests
  • Help sort through office faxes and assist where able
  • Rename and attach all scans to the appropriate charts
  • Inventory
  • Complete assigned tasks

7. To-Do Assignments

  • Responsible for calling back all phone call messages by the end of the day • Be a resource for all patients with questions or concerns about their treatment plan
  • Responsible for completing all to-dos in a timely manner
